Privacy Policy

1. Who we are

Gulf Coast Surveyors (“GCS”, “we”, “us”) is an independent marine surveying firm headquartered at 1025 Montrose Street, Beaumont, TX 77707. This Privacy Policy explains how we handle information collected through our website and public draft-survey tool.

2. Information we collect

  • Survey inputs you submit — vessel name, displacements, deductibles, water density, policy reference, origin/destination ZIP, and notes you choose to file.
  • Lookup queries — ZIP codes you enter to verify shipment coverage.
  • Technical data — IP address, browser, timestamps, and basic request metadata used to operate and protect the service.
We do not sell personal information and we do not run third-party advertising trackers on this site.

3. How we use information

  • To generate and store draft-survey records you file through our public tool.
  • To reconcile reported tonnage with hull, cargo, and P&I insurance policies referenced in the record.
  • To maintain the integrity of our shipment-coverage index.
  • To respond to quote requests and client communications.

4. Public records

Survey records filed through the public calculator are stored on our public ledger and may be accessed by other parties for policy reconciliation. Do not submit confidential commercial terms, personally identifying information, or material non-public information through the public tool. Confidential surveys are issued under a separate engagement.

5. Data retention

Filed survey records and operational logs are retained for at least seven (7) years to satisfy maritime claims, charter-party, and insurance documentation requirements. Technical logs are retained for up to twelve (12) months.

6. Security

Information is transmitted over TLS and stored on managed infrastructure with role-based access controls and at-rest encryption. No internet-connected system is perfectly secure; we cannot guarantee absolute security.

7. Your choices

You may request access to, correction of, or deletion of information you submitted, subject to our recordkeeping obligations under maritime and insurance law. Contact Thomas.Fuller@gulfcoastsurveyors.com.

8. Changes

We may update this Policy from time to time. Material changes will be posted on this page with a revised “Last updated” date.
